Compose a request

How to build and send a case: client, blocks, custom items, language, and label.

To start a new collection, go to Lists and click New case. The idea in one line: pick a client, pick one or more blocks, set the client's language — the item labels in that language are frozen into the list at compose time.

1. Pick the client

Search by name or email. If the client isn't in your list yet, use the inline Add a new client quick-create — no need to leave the compose flow.

Selecting a client automatically sets the case language to their preferred language. You can change it before creating the case.

2. Pick the blocks

Blocks are your reusable checklist templates:

  • Core blocks are pre-selected and apply to every case.
  • Pick exactly one Profile block matching the client's situation (e.g. "Salaried employee").
  • Add as many Add-on blocks as the case needs.

Expand any block inline to review its items. Each item is marked required or optional:

  • Optional items can be deselected if they don't apply.
  • Required items cannot be deselected.

3. Add other documents

For anything not covered by a block, add free-form rows under Other documents — for example "Latest bank statement". You can remove a row before creating the case. Once created, these custom items are required.

4. Set the client language

Choose English, French, or Portuguese. The document labels and descriptions in that language are frozen into the case at compose time — if you edit a block or registry entry later, this case is unaffected. The client always sees exactly what you sent.

5. Add an internal label

Give the case a name for your own reference, e.g. "Mortgage application — June". Your client never sees this label.

6. Send now or save as draft

  • Tick Send immediately to create the case as sent (the sent date is stamped).
  • Leave it unticked to save a draft. Drafts stay off the dashboard until sent; you send them later from the case page.

Optional: preview the email

Before creating the case, you can open the email preview:

  • Pick from template suggestions, then edit the subject and body freely.
  • The recipient is pre-filled with the client's email.
  • The body includes the placeholder text "[secure link added automatically when sent]" — the portal link is inserted when the case is sent.
  • Use the copy buttons or open in mail to send from your own email client.

Click Create case to finish.

Note: Composing never modifies your blocks or registry — it takes a snapshot of them. To change templates for future cases, edit the blocks themselves.
